Digital Image Policy

• Your own photographs, or photographs you have permission or a valid licence to share.
• Relevant photographs of plots, habitats, plants, pollinators and other wildlife.
• Please do not upload images copied from websites, social media or other sources unless you have the necessary permission.

• Do not upload identifiable people without their permission.
• Do not upload identifiable children.
• Avoid faces, house numbers, private addresses, vehicle registration plates, documents or other personal information.
• GBPH may remove any image that creates a privacy, safeguarding, copyright or community safety concern.

Every photo is re-saved before it is stored, which removes EXIF and other embedded metadata, including GPS location. Original filenames are replaced, so they are never shown publicly. If your device gives us a format we cannot clean safely, we will ask you for a JPG, PNG or WebP instead.

• You keep the copyright and ownership of your photograph.
• By uploading, you give GBPH a non-exclusive, royalty-free permission to store, resize and display the image within the GBPH platform for as long as it remains uploaded.
• GBPH will ask you separately before using your photograph in external advertising, merchandise or social media campaigns.
• Removing the photograph ends future display on the platform, subject to reasonable backup and caching times.

• Uploading a general plot or habitat photo does not trigger AI.
• AI analysis only happens when you deliberately select "Identify wildlife in this photo".
• AI suggestions can be wrong, so please check the species before you submit a record.

• You can remove your own photographs at any time from your dashboard or your story.
• GBPH can remove images that breach this policy.
• If you are concerned about an image, please email hello@gbph.co.uk so a member of the GBPH team can look into it and remove the image if needed.

I confirm that I took this photo or have permission to share it, and that it contains no identifiable people or private information.

You will see this confirmation just before a plot photo, a Community story photo or a wildlife record photo is uploaded. Choosing or previewing a photo never uploads it on its own.
