Digital Image Policy

• You must have created the photo or video, or have the rights and permissions needed to share it and grant the licence below.
• Content must be relevant to plots, habitats, plants, pollinators, other wildlife or a member story.
• Do not copy content from websites, social media or other sources unless you have the required rights.

• You are responsible for getting consent from every identifiable adult.
• Never post identifiable children, private information, house numbers, vehicle registrations or precise sensitive-species locations.
• GBPH may remove content because of copyright, privacy, safeguarding, safety or Community Standards concerns.

You keep copyright and ownership. By posting a photo or video to GBPH, you grant GBPH a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, resize, crop, format, display, publish and share it for operating and promoting GBPH, including on the GBPH website, GBPH social media accounts, email newsletters, presentations, press activity and other GBPH promotional communications.

• GBPH may add a logo, caption, credit or accessibility description, but must not materially misrepresent the content.
• GBPH will credit the member where reasonably practical, but cannot promise a credit in every format.
• GBPH will not sell your photo or video as stock content, merchandise it, or license it commercially to an unrelated third party without your separate permission.
• The licence continues while the content is posted. You can remove content from the platform and use our Contact Us form to ask GBPH to stop new promotional uses.
• A removal request cannot undo material already printed, published, shared or cached before the request.

Photos attached to public plots, wildlife records and Community stories can be seen by anyone. Promotional reuse is separate from merely displaying the post, but both are covered by the licence above. Promotional reuse may include the GBPH website, GBPH social media accounts, email newsletters, presentations, press activity and other GBPH promotional communications.

• Before a supported photo is stored, GBPH re-encodes it and replaces its filename. This removes EXIF and embedded metadata, including GPS location. If a format cannot be cleaned safely, GBPH asks for a JPG, PNG or WebP instead.
• Uploading a plot, record or story photo does not itself start AI identification.
• AI analysis happens only when you select “Identify wildlife in this photo”. A cleaned, resized copy is then sent to an external AI service to suggest an identification.
• GBPH records a usage entry for each identification request, not the photo itself. The suggestion and confidence are not scientific verification. Identification remains optional and records can be entered by hand.

• You can remove your own photos from your plot or story. Deleting a wildlife record, plot or story also starts removal of linked stored files.
• Account deletion removes the account and its platform data, then attempts to remove already identified storage files. GBPH reports honestly if file cleanup is incomplete.
• For a privacy, copyright, safeguarding, removal or promotional-use request, use our Contact Us form.

I confirm that I created this photo or have permission to share it, that it contains no identifiable children or private information, and that GBPH may use it on the platform and to promote GBPH, including on social media, email and in press activity.

This confirmation appears before every plot, wildlife-record and Community-story photo upload. Choosing or previewing a file does not upload it by itself.
