This document is a plain English working draft. It has not yet been reviewed by a solicitor and must be legally reviewed, including the liability section below, before any payments are taken from members. It is not legal advice.

These are the terms that apply while you hold a GBPH account. GBPH is currently a free pilot, and no payments are taken from members.

1. Free pilot, adults only

GBPH is currently free to join. Accounts are for adults aged 18 or over. Schools and youth groups may take part through an adult-managed account, but the account holder must not identify or name any child anywhere on the platform.

2. Your responsibilities

  • Keep your login details secure and do not share your account with others.
  • Only submit records, plots, photos and stories that you believe to be accurate and truthful.
  • Only submit content you own or have permission to share, following the Digital Image Policy for photos.
  • Follow the Community Standards when interacting with other members.

3. Accuracy of records

Species identifications, whether entered by hand or suggested by the optional AI identification feature, are member submissions and suggestions, not verified scientific determinations. GBPH does not guarantee the accuracy of any submitted species names, plot description or other member content.

4. Licence to display your content

You keep ownership of the content you submit. By submitting a plot, record, photo or story, you give GBPH a non-exclusive, royalty-free licence to store, resize and display that content on the GBPH platform for as long as it remains submitted. Removing content ends future display, subject to reasonable backup and caching times.

5. Suspension and termination

  • You can delete your account at any time from the Account page.
  • GBPH may suspend or remove an account that breaches these terms, the Digital Image Policy or the Community Standards, or that poses a safeguarding or safety concern.
  • Where practical, we will explain why an account has been suspended or removed, unless doing so would create a safety risk.

6. No payments yet

GBPH does not currently charge for membership. If that changes in future, these terms will be updated and reissued after formal legal review, and members will be told before any charge applies to them.

7. Liability

This section needs formal legal review before launch. In the meantime: GBPH is provided as a community recording platform on a best efforts basis during a free pilot, without guarantees of uptime, accuracy or fitness for a particular purpose, and GBPH's liability to members should be limited to the extent the law allows. The final wording of this section must be confirmed by a solicitor before any payments are introduced.
