Privacy Policy

This policy covers anyone with a GBPH account, and anyone browsing the public map or community pages. GBPH's free pilot is for adults only: accounts are for members aged 18 or over. Schools and youth groups may take part through an adult-managed account, but must not identify or name any child in a profile, plot, record, photo or story.

• Account details: email address and login credentials, handled by our hosted backend provider (Supabase), not stored by GBPH directly.
• Public profile fields you choose to add: display name, organisation and region.
• Plot information: plot name, organisation, town or area, an outward postcode only (for example "SW1A", never a full postcode), habitat type and description.
• Wildlife records: submitted species names, dates and notes attached to a plot.
• Photos you upload to plots, records or community stories.
• Usage counts, such as how many AI identification requests you have made, so the service can be run fairly.

GBPH never stores or displays a full postcode or a precise property location. A plot's map position is derived from the outward part of the postcode only, which places it at an approximate postcode district centre, typically covering a wide area shared by many addresses. We do not collect exact coordinates, satnav pins or full addresses.

• Photos on plots, records and community stories are publicly visible, in line with our Digital Image Policy.
• Every photo is re-saved before it is stored, which strips EXIF and other embedded metadata, including GPS location. Original filenames are replaced.
• Photos are held in our hosted storage provider's infrastructure.

• An image is only sent to an external AI provider when you explicitly choose "Identify wildlife in this photo".
• GBPH does not retain the image with that external provider for the purpose of identification. We log a simple usage count of requests, not the photo itself.
• The result is a suggestion produced by an automated system, never a verified determination, and should be checked before you rely on it.

• Our hosted backend provider, for authentication, database and storage.
• An external AI provider, only for images you choose to submit for identification.
• We do not sell personal information, and we do not share it with advertisers.

We keep account, plot, record and photo data for as long as your account is active. You can delete individual plots, records, photos or stories at any time. Deleting your account from the Account page removes your profile, plots, records, stories and stored photo files.

• You can export your data from the Account page.
• You can correct or delete your information at any time from your dashboard or the Account page.
• You can ask us questions about your data, or raise a complaint, by emailing hello@gbph.co.uk.

If you see content that concerns you, please report it by emailing hello@gbph.co.uk with what you found and where. We review reports by hand during the pilot.
